Vacancy: Events Assistant (Maternity Cover)

Job Title: Events Assistant (Maternity Cover)

Reporting To: Events Team Leader

Basis: Full-time

Working Hours: 37.5 hours Salary: £23,000

5 days over 7, evening and weekend work will be required.

Location: Detling, Maidstone and/or flexible working

Principle Accountabilities:

  • To complete administrative and reception tasks as required
  • To work with existing corporate clients, providing quotations, organising site visits, booking external contractors and any other tasks that results in the successful delivery of their event or conference and maintains a good working relationship
  • To liaise and build strong working relationships with internal departments and external contractors to ensure events and conferences run smoothly
  • To prepare detailed function sheets for events and conference clients including agenda times, coordinate with the hospitality team to ensure all food and beverage requirements are met, ensure all audio-visual equipment is in place and liaise with the operations team to ensure the venue is set up to client’s detail
  • Work with the Deputy General Manager and Show Secretary to assist with the planning, organisation and implementation of shows and events run by the Kent County Agricultural Society, including its charitable activities
  • To manage mapping of the events using an AutoCAD based system and assist with the preparation with any show schedules/catalogues
  • Complete the administration and organisation of any stewards/volunteers at Society events and provide any administrative support to the various Show Committees including minute taking at Committee meetings
  • Respond to client’s requests and general enquiries in a professional and timely manner
  • Raise accurate and timely invoices for clients and contractors
  • To assist Hospitality Coordinator with client events/conferences, this may include set up for events and assisting with hospitality as required
  • Be an ambassador for the Kent County Agricultural Society and the Kent Event Centre.

In addition to the duties and responsibilities listed, the job holder may be required to perform other duties assigned by the Deputy General Manager and Show Secretary from time to time.


Essential Experience:
